Pharmacies and food: batches and expiry dates

Record each batch with its number and expiry date. Sales take the soonest-expiring first and refuse expired stock, and you can see what's about to expire.

Open this page in your dashboard

Turn on batches for an item

Open the item from Products, and under stock turn on Batches and expiry dates, then save.

Add a batch

Open Inventory → Expiry and click Add a batch.

Adding a batch
Adding a batch
  1. Pick the item, then enter the batch number, expiry date and quantity.
  2. Add the quantity to stock: leave it checked for new goods. Uncheck it if the quantity is already in stock (from Purchases, say) and you only want to split it into batches.
  3. If you have more than one location, pick where the goods are.

Selling

Nothing changes for the cashier. Every sale (at the register or online) takes from the batch that expires soonest at that location. If there isn't enough in-date stock and the rest has expired, the sale is refused with a message showing how much is still good.

Track expiry

The Expiry tab lists every batch by expiry date, with how many have expired and how many expire within 60 days.

  1. Expiring soon and Expired filter the list quickly.
  2. Write off an expired batch: it comes out of stock and is logged as a write-off.
  3. Adjust when the real count differs (damaged or counted).
Returned items go back to stock without a batch. Add them as a batch without "Add the quantity to stock" if they'll be sold again.

Adding and adjusting batches needs the Products permission. Any cashier can view them.
