Edit an order after it's placed
Customer changed their size, added an item or dropped one? Edit the order itself instead of canceling it and starting over.
When can I edit an order?
The Edit order button shows up when the order is:
- New or Confirmed,
- not shipped yet,
- and not waiting for an online payment or refunded.
Editing an order that was paid online
You can edit an order even if the customer paid by card. We keep the amount Paid online and compare it with the new total:
- The total went up: you'll see a Balance due, which is added to the amount collected on delivery. If your store doesn't take cash on delivery, collect the balance from the customer before you ship.
- The total went down: you'll see a Refund owed. Refund that amount through the payment provider the customer paid with.
The amount paid and the balance or refund show in the order summary and in its history.
Steps
- To add an item, type its name under Add a product and pick it (then its size or color, if it has one).
- Change Shipping or Discount if you need to, and add a Reason (optional; it shows in the order's history).
- Check the new total at the bottom, then click Save changes.
What happens when you save
- Items that were already on the order keep their original price; new items are added at today's price.
- Stock updates automatically: removed quantities go back, added ones come out.
- The total and the amount to collect on delivery are recalculated. If part of it was paid with a gift card, that stays applied, and if the new total drops below the card amount, the difference goes back on the card.
- "Order edited" shows in the order's history, with your reason if you added one.
Text the customer the new total before you ship, so there are no surprises at the door.
Apex wholesale items on the order aren't changed by editing. Editing an order takes the Orders permission.
